Customer Notes |
This window is automatically loaded when you open the Customers window and is used to record any general notes against the customer. Text entries are free-format and event based. If the related Customer Record is deleted then the notes are deleted as well. When an 'event' occurs a suitable entry is made in the customer notes. Buttons are available in the notes toolbar as detailed below. Notes can also be automatically generated by the following events:- - A letter sent by 1stBase. - An email is sent by 1stBase. - An appointment made or changed in the Customer window. - A Short/Long Form report is printed for the customer. The setting for whether or not 1stBase adds a note for the above events can be found in Maint, System, Global System Settings. |
Adds a 'Notes' event |

Adds a 'Letter In' event. |

Adds an 'Email In' event. |

Marks/unmarks the current event comment for deletion. This option is only available to users with Supervisor access levels. Deleted notes are removed when you select 'Remove Deleted Records' from the Maint menu. |

If checked shows all events regardless or whether they are marked for deletion. A deleted note shows 'Deleted' in the Date column. |

If checked then the grid and the comment edit box wrap the comment. |

If checked then the grid will set the row heights to fit the comment text. NOTE: AutoSize may produce undesirable scrolling problems if you have comments that are taller than the overall height of the Notes window. If this occurs either split the comments into separate, smaller, events or turn AutoSize off. |

What happens when an event is added? |
When any event is added the Date/Time, Operator (i.e. who is logged into 1stBase) and Event type columns are automatically filled in. If 1stBase is adding the event in automatically then it will insert suitable text into the event comment. If you are adding an event manually then you can edit the event comment up until the point the Customer record is saved. After a comment is saved it can only be edited by operators with Supervisor access rights. Supervisors can also edit the date/time of the event comments. |
Editing an event |
When you add an event by hand the comment text is automatically opened for editing. If you want to edit an existing comment then double-click on the comment required. A comment that is opened for editing can be scrolled. In order to edit the event date/time double-click on the timestamp you wish to change |
Changing the row and column sizes |
You can resize the grid to your own preference. 1stBase will save the column widths when the window is closed. 1stBase also saves the height of the first event line when the window is closed and uses this as the default height for every row if AutoSize is disabled. Row Height: Place the mouse cursor into the grey column at the left of the notes. Move the cursor over the horizontal line at the bottom of the row you wish to resize, staying in the grey area, and the mouse pointer will change to a double headed arrow. Hold down the left mouse button and drag the row to the height you wish, then release the mouse button. Column Width: This is similar to resizing a row but the mouse cursor is placed in in the grey row at the top of the notes (i.e. where Date, Operator etc are shown). Drag the vertical bar at the right of the column you wish to resize. |
